Flows & orders

Setting Up Flows: A Complete Guide

Learn how to create dynamic flows to assign templates based on order history, customer and product types from your data sources.

Flows are a powerful automation tool that let you make decisions about your orders using data from your connected platforms. You can use variables from eCommerce platforms (i.e. Shopify), WMS & OMS integrations, and marketing apps to make decisions.

The two core actions in any flow are:

1. Assigning templates to orders (templates can contain both dynamic content like customer names and static content like images).

2. Assigning orders to specific printers.

Available Variables

When creating conditions, you can use:

  • Order data (i.e. value, tags)
  • Customer information (i.e. lifetime value, review status)
  • Product attributes (i.e. images, descriptions)

These variables can come from any of your connected:

  • eCommerce platforms
  • WMS & OMS integrations
  • Marketing apps

Modules

Flows use modules to control how orders are processed:

Split Module

Create branches in your flow based on order conditions:

1. Add a split module

2. Choose your data source and variable

3. Set up your condition(s)

4. Add actions to each branch

Ignore Module

Skip processing for orders that match specific criteria:

1. Add an ignore module

2. Set up conditions for orders to ignore

3. Orders matching these conditions exit the flow

Actions Within Modules

After configuring your module conditions, you can add these actions:

Core Actions

  • Assign a template to the order
  • Assign a printer for fulfillment

Additional Actions

  • Add or update order tags
  • Swap ShipHero invoice
  • Fetch Klaviyo customer data

Common Flow Examples

First-Time Customers

1. Add a split module

2. Select "Order Count" as your variable

3. Set the condition to "equals 1"

4. On the "true" branch:

- Assign your first-time customer template

5. On the "else" branch:

- Assign your default template

VIP Customers

1. Create a split based on total customer spend

2. Set condition: "Total Spend greater than 250"

3. For VIP customers:

- Assign your VIP customer template

4. For standard customers:

- Assign your default template

Subscription Orders

1. Create a split based on order tags

2. Set condition: "Tags contains subscription"

3. For subscription orders:

- Add another split to check for "subscription recurring order"

- Assign appropriate templates

4. For non-subscription orders:

- Assign standard template

Testing Your Flow

Your flow automatically saves as you work. Before publishing:

1. Use the preview feature to test how specific orders would be processed

2. Verify template assignments are correct

3. Check printer connections

4. Review thoroughly as publishing will affect live orders

Common Issues to Watch For

- Variable availability

- Condition logic

- Template assignments

- Printer connections

Publishing and Monitoring

1. Review all conditions and template assignments

2. Verify printer connections

3. Click "Publish" to activate

4. Monitor initial orders to ensure correct operation
