ShipStation Integration

Integrate ShipStation with Yuzu to automate printing. Learn setup, API key expiry and rotation, print triggers, sorting, and troubleshooting.

ShipStation is a leading order management system that integrates with Yuzu to automate printing and streamline fulfillment workflows. This guide focuses on setting up the integration, configuring print triggers, and ensuring seamless operation.

App Type

ShipStation is an Order Management System (OMS) that enables Yuzu to automate printing workflows triggered by shipping actions.

Key Features and Workflow

Automated Print Triggers

Once integrated, Yuzu uses ShipStation triggers to automate printing workflows, such as:

  • Label Printed: Initiates printing of personalized templates when a shipping label is created.

  • Order Fulfilled: Automatically sends print jobs when an order is marked as fulfilled.

Seamless Order Sync

  • Yuzu pulls real-time order data from ShipStation, ensuring accurate and timely printing.

  • Includes essential order details like shipping method, tracking numbers, and customer information.

Implementation Steps

1. Connect ShipStation to Yuzu

  1. Log in to your Yuzu dashboard.

  2. Navigate to the Apps section and select ShipStation.

  3. Authenticate the connection by entering your ShipStation API key and secret.

Create and rotate your ShipStation API key

ShipStation API keys expire. When creating a V1 API key, choose the longest available expiration period, which is currently 12 months.

Record the expiration date and create a calendar reminder for at least 30 days before it expires. ShipStation may also email the account owner before expiry, but your own reminder helps avoid an interruption to order syncing and automatic printing.

Yuzu cannot read the expiration date from the key, so keep your own record of it.

Create a new ShipStation API key

  1. In ShipStation, go to Settings → Account → API Settings.

  2. Select V1, then click Generate API Key.

  3. Complete email verification if ShipStation asks for it.

  4. Choose the longest available expiration period, which is currently 12 months, then generate the key.

  5. Copy the API key and secret when they are shown. ShipStation only displays them once, so store them securely and do not send them by email.

Update the API key in Yuzu

  1. In Yuzu, open Apps and select your ShipStation app.

  2. Click Update API key.

  3. Enter the new ShipStation API key and secret.

  4. Confirm that orders are syncing and automatic printing is working before deleting the old key in ShipStation.

ShipStation supports two active V1 keys so you can generate a replacement, update Yuzu, and verify the connection before deleting the old key. If a key has already expired or become invalid, follow the same steps to restore the connection.

2. Configure Print Triggers

  1. Go to the Apps section in Yuzu.

  2. Define the triggers for automated printing, such as:

    • Label Printed: Ideal for ensuring print jobs are ready when orders are packed.

    • Order Fulfilled: Ensures print jobs align with fulfillment milestones.

3. Verify Data Sync and Sorting

  1. Confirm that orders are syncing correctly between ShipStation and Yuzu.

  2. Sorting Considerations for Bulk Printing:

    • When printing shipping labels one at a time, sortation issues are unlikely to occur.

    • For batch printing within ShipStation, ensure that the sortation order matches between the Yuzu ShipStation app and your ShipStation label sorting settings.

    • By default, the Yuzu ShipStation app orders by "Order number: lowest first."

    • If your ShipStation label sorting uses a different rule (e.g., "Order date: most recent last"), align these settings to avoid discrepancies.

  3. Temporarily, if discrepancies arise (e.g., mixed alphanumeric order numbers), adjust your ShipStation settings to "Order number: lowest first" or keep a note of any deviations until custom sorting options are available in the Yuzu ShipStation app.

  4. Check that shipping actions trigger print workflows as configured.

Troubleshooting Tips

  1. Missing Orders:

    • Verify that the ShipStation API connection is active.

    • Check that the order status in ShipStation matches the trigger conditions set in Yuzu.

  2. Print Jobs Not Triggering:

    • Ensure that the correct triggers are enabled in Yuzu’s Apps section.

    • Double-check your ShipStation settings for shipping labels or fulfillment actions.

  3. Data Discrepancies:

    • Confirm that shipping details (e.g., tracking numbers, methods) are syncing accurately.

    • Re-sync the integration if discrepancies persist.
